Last updated: 23 September 2026

Infinite Smiles Multispeciality Dentistry (“we”, “us”, “the clinic”) is a dental practice in Hyderabad, India. This policy explains what personal information we collect, why we collect it, how we use and protect it, and what rights you have over it. It applies to our clinic, our website, and the WhatsApp messages we send you. We are the Data Fiduciary for this information under India’s Digital Personal Data Protection Act, 2023.

What information we collect

When you contact us or book an appointment: your name, mobile number, and what you have contacted us about.

When you are treated at the clinic: your dental and relevant medical history, allergies, current medications, clinical examination findings, diagnoses, treatment plans and treatment records, dental radiographs and intra-oral photographs, digital scans and impressions, and prescriptions issued to you.

When you pay: amounts, invoices, receipts and the payment method used. We do not store your card details or bank credentials.

When you use our website: standard technical information such as your IP address, browser type and pages visited, collected by our hosting provider for security and basic analytics.

Your dental and medical information is health data. We treat it as confidential and handle it with more care than ordinary contact details.

How we use your information

  • To examine, diagnose and treat you, and to keep an accurate clinical record as required of a registered dental practitioner
  • To confirm and remind you about appointments
  • To send you your prescription and invoice after a visit
  • To check on your recovery after a procedure
  • To answer your questions about treatment, timing and cost
  • To ask, occasionally, whether you would leave us a review — you can ignore or decline this, and it never affects your care
  • To meet our legal, professional and tax obligations

Messaging you on WhatsApp

We use the official WhatsApp Business Platform, provided by Meta, to message patients. If you give us your mobile number and agree to be contacted on WhatsApp, we may send you appointment confirmations and reminders, your prescription as a PDF attachment, your invoice as a PDF attachment, post-treatment follow-up messages, answers to questions you have asked us, and occasionally a request for a Google review.

  • Messages are delivered through Meta’s WhatsApp Business Platform. Meta processes them in order to deliver them, under its own privacy terms, which we do not control.
  • Your prescription and invoice are sent as attachments through WhatsApp’s own encrypted transport, not as public links. We do not publish them anywhere that can be opened without your phone.
  • We keep a record of the messages exchanged with you as part of your patient record.
  • You can stop these messages at any time. Reply STOP to any message, tell us at the clinic, or call +91 93927 47123. Stopping messages does not affect your treatment in any way. We will still contact you by phone where clinically necessary.
  • Please do not send us emergency information by WhatsApp. If you have severe pain, swelling, bleeding or difficulty breathing or swallowing, call the clinic or seek immediate medical care.

Automated replies. Routine enquiries on WhatsApp — our timings, location, what a treatment involves, and appointment requests — may be answered automatically by an assistant rather than by a member of our team. Anything clinical is passed to our staff, and Dr. Suleiman Talha or the clinical team can take over any conversation at any time. The assistant never diagnoses, never names or recommends any medicine, never gives a dose, and never replaces a consultation. To produce a reply, the recent messages in your WhatsApp chat with us and your first name are sent to a hosted AI service; your clinical records are not. If your message concerns pain, swelling, bleeding, injury or any other urgent problem, please call the clinic on +91 93927 47123.

Consent

We ask for your consent before adding you to WhatsApp messaging, and we record that you gave it. Where we process your information to provide dental treatment you have requested, or to meet a legal or professional obligation, we rely on that basis rather than consent. You may withdraw consent for WhatsApp messaging, or for any optional use of your information, at any time. Withdrawing consent does not undo anything already done lawfully before you withdrew it, and does not affect records we are required to keep.

Who we share your information with

We do not sell your information, and we do not share it for advertising. We share it only where necessary:

  • Dental laboratories, where a crown, denture, aligner or other appliance is being made for you — limited to what the laboratory needs
  • Other clinicians, where you are referred for specialist care or a second opinion, with your knowledge
  • Meta (WhatsApp Business Platform), to deliver messages to you
  • A hosted AI service, which receives the recent text of a WhatsApp conversation and your first name in order to draft automated replies to routine enquiries — never your clinical records
  • Our software and hosting providers, who host our clinic management system on our instructions
  • Payment providers, to process payments
  • Our accountant and tax authorities, for billing and statutory records
  • Courts, regulators or authorities, where we are legally required to disclose

Providers who handle data on our behalf are required to keep it confidential and use it only for the purpose we have given them.

How long we keep it

We keep clinical records, radiographs and treatment notes for the period required of a registered dental practitioner in India, and for as long as needed to provide continuing care or to defend a professional or legal claim. In general this means at least three years from your last visit, and longer where a treatment has a longer expected lifespan or where a matter remains open. Billing and tax records are kept for the period required under Indian tax law. WhatsApp message history is kept as part of your patient record. Enquiry records from people who never became patients are deleted once they are no longer needed. When information is no longer needed for any of these purposes, we delete it or render it anonymous.

How we protect it

  • Access to patient records is restricted to the clinician and to clinic staff who need it for your care or your billing
  • Our clinic management system is protected by individual accounts and passwords, and is served only over an encrypted (HTTPS) connection
  • Clinical documents are transmitted to you as attachments rather than as openly accessible links
  • We do not store card or bank credentials
  • Our systems are backed up, and backups are protected

No system is perfectly secure. If a breach occurs that is likely to affect you, we will inform you and the Data Protection Board of India as the law requires.

Your rights

Under the Digital Personal Data Protection Act, 2023, you have the right to:

  • Know what personal information we hold about you and who we have shared it with
  • Obtain a copy of your records, including your treatment notes and radiographs
  • Correct or complete anything inaccurate or out of date
  • Ask us to erase information we no longer have a lawful reason to keep
  • Withdraw consent for anything we do on the basis of your consent
  • Nominate another person to exercise these rights on your behalf if you are unable to
  • Complain to us, and then to the Data Protection Board of India if you are not satisfied

To exercise any of these, contact us using the details below. We will respond within a reasonable period. We may need to confirm your identity first, to make sure we are not disclosing your records to somebody else.
